Information about the processing of personal data under the GDPR

1. Who this information applies to
This information concerns the personal data of individuals who visit the public Feedify website, contact us, register or use Feedify on behalf of a business Client, or whose data appears in Feedify billing, security or contractual records.
For personal data that the Client places in its listings and that Feedify processes exclusively in accordance with the Client's instructions, Feedify may act as a processor. Such processing is governed by a separate DPA.
2. What data we process
- identification and business contact details of the user and the Client (for example name, job position, company affiliation, registration and billing details),
- login and account data, language settings and security feature settings,
- data related to payments, billing, credits, tax treatment and VAT/VIES verification,
- the content of communications through the contact form and subsequent business or service communications,
- operational and security data, such as login time, IP address, session information, technical logs, audit events and information required to protect the account and system,
- data about the use of Feedify required to provide the service, troubleshoot errors and provide support,
- data required to demonstrate consents, orders, acceptance of terms and account cancellation.
3. Purposes, legal bases and retention periods
Registration and provision of the service
Legal basis: performance of a contract / steps prior to entering into a contract
Retention: for the duration of the active account and subsequently according to the retention lifecycle; statutory/audit records may be retained for longer
Billing, invoicing and taxes
Legal basis: performance of a contract + legal obligation
Retention: accounting and tax documents generally for 10 years after the year to which they relate, or in accordance with the current statutory period
Security, abuse prevention and audit
Legal basis: legitimate interest in protecting the service, clients and legal claims
Retention: for a period proportionate to the risk and purpose; audit records may remain after deletion of the live account where necessary
Contact form and business communication
Legal basis: steps prior to entering into a contract or legitimate interest in handling the request
Retention: generally for the duration of the communication and for an appropriate period after it ends; without another reason, no longer than 24 months after the last substantive interaction
Compliance with legal obligations and legal claims
Legal basis: legal obligation / legitimate interest
Retention: for the period required by law or for the relevant limitation/archiving period
4. Registration and company data
Feedify is a B2B service. Registration is linked to the business identity of the Client and the user acting on behalf of the Client. We may reasonably verify data where necessary for security, billing, tax obligations or prevention of duplicate/incompatible registration.
5. Payments and tax verification
For payments, we process data required to identify the payment, credit the purchased credits, issue a document, handle a complaint and perform an audit. If a payment is processed by an external payment service provider, data is transferred to that provider to the extent required to execute the payment. Feedify generally does not need to store full payment card details.
For foreign B2B Clients, we may verify a VAT ID through VIES or another authoritative mechanism in order to determine the correct tax treatment.
6. Contact form
If you contact us through the public form, we process the data you provide so that we can respond, assess your interest in Feedify, address a proposed Portal, cooperation, a technical question or a billing request. Required fields are intended to be limited to data necessary to handle the message.
7. Operational and security data
Feedify maintains appropriate operational, audit and security records to protect accounts, respond to incidents, perform diagnostics, demonstrate significant actions and protect legal claims. The scope of logging is limited according to its purpose, and sensitive data such as passwords or secret authentication values should not be recorded in plaintext.
8. Recipients and categories of recipients
- infrastructure and hosting providers to the extent necessary to operate the service,
- payment service providers where the relevant payment integration is active,
- accounting, tax or legal advisers to the necessary extent,
- public authorities where required by law or a binding decision,
- supported advertising Portals where transfer of data forms part of the Client's instruction and provision of the Portal Service,
- additional processors (subprocessors) engaged in accordance with the DPA.
9. Transfers outside the EU/EEA
Feedify seeks to process data within the EU/EEA in the course of its operations. If a provider is used that involves a transfer of personal data outside the EU/EEA, Feedify will ensure an appropriate legal mechanism under the GDPR and make this fact appropriately available to affected individuals or Clients according to the nature of the processing.
10. Automated decision-making and AI
Feedify does not carry out solely automated decision-making in relation to users that produces legal or similarly significant effects within the meaning of Article 22 GDPR. If AI assistance is made available, it serves as a supporting function when working with data and issues; it does not replace the Client's responsibility for the content of its listings or human decision-making where required.
11. Your rights
- the right of access to personal data,
- the right to rectification of inaccurate data,
- the right to erasure where the statutory conditions are met,
- the right to restriction of processing,
- the right to data portability in cases provided for by the GDPR,
- the right to object to processing based on legitimate interests,
- the right to withdraw consent where specific processing is based on consent, without affecting the lawfulness of prior processing,
- the right to lodge a complaint with the Office for Personal Data Protection of the Slovak Republic.
You may submit a request through the Feedify contact form. Before handling the request, we may reasonably verify the identity and authority of the applicant.
12. Account deletion and statutory exceptions
Definitive cancellation of a Feedify account triggers deletion of live operational data according to the retention and security lifecycle. Some records cannot, or should not, be deleted immediately where we must retain them to comply with accounting, tax or other legal obligations, to demonstrate the contractual relationship or a security incident, or to protect legal claims.
13. Security
We use appropriate technical and organizational measures taking into account the nature of the data, the risks and the state of the art. Their public framework is described in the Feedify Security Policy. For security reasons, we do not disclose detailed architecture or specific internal protection mechanisms.
14. Cookies and local storage
The use of cookies and similar technologies is described in the separate Cookies and Local Storage document. The current principle is not to use optional analytics or marketing tracking unless it is actually needed and has been implemented in a legally compliant manner.
15. Changes to this information
We may update this information if Feedify, legal requirements or actual providers change. The current version will be published on the Feedify legal page with its effective date.
